Booking terms and conditions:

You are required to fill out a booking application form and forward it to us via email. In order to secure your reservation, Trek Venture Nepal (TVN) requires you to deposit 25% of total trip cost per person at the time of booking. Another 25% will have to be deposited 30 days prior to the commencement of the trip and rest 50% is required upon your arrival. If you happen to book a trip less than 30 days before the commencement of the trip, you will be initially required to deposit 50% of total trip cost per person at the time of booking and the rest 50% is required upon your arrival. The deposit amount is non-refundable.

We do accept last minute bookings in case of trekking and other activities in Nepal. You can secure a trip a week before the said trip’s commencement date.

Trek Venture Nepal (TVN) accepts various methods of payment, that includes cash, Visa, MasterCard, PayPal, Western Union and direct bank transfer. If you decide to pay your deposit with credit card, you will be required to pay an extra 4% surcharge.

You are required to submit scanned copies of respective passports via email (info@trekventurenepal.com), including two passport sized pictures and flight ticket reservation.

For payment via credit card:

You are required to submit following documents in order to pay for the trip via credit card. Please send the documents to our office via email (info@trekventurenepal.com).

A copy of your passport
A Copy of your Credit Card (both sides)
An authorization letter mentioning the Bill Amount inclusive of bank charge.

Amendment policy:

You are required to notify us via email in the case you want to bring any changes in the itinerary. All the non-refundable costs incurred e.g. government permits, insurance, flight tickets, hotel bookings, etc. will be liability of the customer. Trek Venture Nepal (TVN) will not be responsible for any added extra cost incurred because of said alteration in the tour arrangement.

In case of any changes that is to be made because of circumstances on our behalf, e.g. trip dates, trip duration, transport schedules, or hotel accommodation before the trip starts, we will notify you in advance as soon as we know of such changes.

Our experienced guides and team leaders reserve the right to alter the entry or exit point of any trekking route or river, if doing so insures safety and security of all the participants of the trip. The rest of the trip will be completed as per the published itinerary.

If we are forced to make change in itinerary or cancel the trip because of weather hazard and adverse conditions that threaten the safety of our clients, we reserve right to do so as it will be in best interests of everyone involved. In case of altering the timing or re-routing the trip, Trek Venture Nepal (TVN) reserves the right to levy additional charges because of such amendments. In case of cancellation, an alternate excursion of similar nature will be offered to you but no refund will be provided.

Trek Venture Nepal (TVN) will not be liable to any client for the emergence of unforeseen circumstances and their consequences in case of: riots, civil unrest, war, weather conditions and forces of nature, strikes, sickness, government intervention, quarantine, blackouts or any other event that may hinder or lead to cancellation of the trip.

Cancellation Policy:

For Nepal

If you decide to cancel your trip to Nepal, you will be required to let us know via email, 30 days before the final departure date of that specific trip. You do have a choice to either postpone or transfer your booking to another person, if that person meets the requirements. In either case of postponement or transfer, you will be charged $175.00 and since the deposit is non-refundable, you could use that sum to book a tour with us for next time.

In case of cancellation made within the week of departure or in-between the trek or upon arrival in Katmandu, no refund shall be provided.

For Bhutan

In case you decide to cancel your trip to Bhutan for any reasons, you are required to notify us in written form via email, 30 days before the final departure of that specific trip. You will be charged 25% of total trip cost as the cancellation fee in case of either cancellation or postponement. Since the deposit is non-refundable, you could use that sum to complete another trek with us.

In case of cancellation made within the week of departure or in-between the trek or upon arrival, no refund shall be provided.

For Tibet

You are required to notify us in written form via email, if you decide to cancel your trip 30 days prior to the final departure date of said trip. You will be charged 50% of total trip cost as the cancellation fee in case of either cancellation or postponement. Since the deposit is non-refundable, you could use that sum to complete another trek with us.

In case of cancellation made within the week of departure or in-between the trek or upon arrival, no refund shall be provided.

For India

In case you decide to cancel your trip to India for any reasons, you are required to notify us in written form via email, 30 days before the final departure of that specific trip. You will be charged 20% of total trip cost as the cancellation fee in case of either cancellation or postponement. Since the deposit is non-refundable, you could use that sum to complete another trek with us.

In case of cancellation made within the week of departure or in-between the trek or upon arrival, no refund shall be provided.

Cancellation due to insufficient clients/members:

If the minimum required number of clients for any climbing expedition is not met, Trek Venture Nepal (TVN) reserves right to cancel the said expedition. In that case, you will be given a full refund but we won’t be held liable for other expenses incurred before such cancellation. It could include, visa fee, gear purchases, airport and airline taxes, etc. You won’t be entitled to claim any compensation from us because of loss, damage, injury and loss of time resulting in the direct or indirect consequence of said cancellation.

Unused Services:

No refund of any sort will be given in case of unused hotel accommodations, meal, means of transport or other services. No refund will be given if you abruptly decide to leave the trip for any reason voluntarily.

Flight delay/Cancellation:

In case of any delays in flight or cancellation because of adverse weather, we advise you to carry extra cash so that you can afford accommodation and food during those periods. We won’t be responsible for any additional expenses incurred because of that.

Insurance:

Trek Venture Nepal (TVN) requires all of its prospective clients to be covered by a comprehensive travel insurance package as a necessary condition for any booking. The insurance must cover medical expenses, loss of gears and personal items, cancellation, curtailment and emergency evacuation. In case your insurance company hasn’t agreed to pay for emergency evacuation, you will be required to pay with cash for all cost incurred. You are required to provide us a proof of your personal travel insurance prior to the trip that covers all the activities that you might engage in. Also, it is mandatory for you to carry the proof of your travel insurance throughout the trip.

Passport and visas:

You are required to carry a valid passport with all the appropriate visas for the duration of your journey. It is advisable that the passport be valid for at least 6 months beyond the duration of the trip. It will be your sole responsibility to ensure that you possess correct visas for countries you are traveling. Thus, we won’t be liable for any incidents of refused entry to a country or regions because of mistakes or lapses in documentation. We advise you to thoroughly check all the visas and documentation before embarking on your journey.

Health requirements:

In all activities whose difficulty level are labelled ‘moderate’ or ‘strenuous’, a good health and healthy stamina is necessary. If you have pre-existing health conditions such as: severe asthma, bronchial disorders, major heart defects, arthritis, severe muscle diseases and such, you are advised not to participate in any activities of said difficulty level. For other activities marked with ‘easy’ difficulty level, you can participate with caution. It is important to note that, most of the trekking will lead you in remote places with difficult terrain far from reaches of modern hospital or medical help. As such, evacuations will be necessary and only way to ensure the survival.

We strongly advise people over 70 years of age to consult with their general physician regarding their fitness level before considering our services. If you are in good physical shape, maintain a healthy stamina and are active in recreational sports, we will consider your request to join if your personal doctor vouches for you.

Children:

All children under the age of 18 must be accompanied by their legal guardian. For trekking, the minimum age requirement is 9 years old and for peak climbing 16 years old.

Responsible travel:

You are required to respect the authority of group leader representing Trek Venture Nepal (TVN). If your actions are deemed harmful to the interest of the group then you will be asked to leave the group and no refund will be given. Also, in situations when the leader decides that because of medical reasons it would be better for you to discontinue the trip, you will have to oblige by that decision. We won’t be liable for any refund in that case either.

Third party booking:

Our terms and conditions will be null and void if the bookings were made from third party vendors.

By signing this reservation form, you have acknowledged that you have read and agreed to all aforementioned terms and conditions of this agreement and all the information provided by you is complete and accurate.
